PLG team turns a PQL into a sales conversation

The situation

A mid-size PLG team, call them a project management tool with a free trial, had a clear definition of what counted as a product qualified lead. The problem was downstream. Once a trial account crossed that threshold, the signal lived in the product analytics tool. Sales worked out of the CRM. Nobody owned the handoff, so PQLs sat for days before anyone noticed, and by the time a rep reached out, the trial had often already gone cold.

The marketing team could see the PQL happen. Sales could see the account exist. Neither could see the other side without asking someone to pull a report.

The approach

The team connected their product usage data and their CRM records in Funnelsight's shared funnel view, so a PQL event and the account's CRM stage sat in the same place. The activation event they'd already defined (in this case, a team inviting a second member and completing a first project setup) stayed the trigger for PQL status. That definition didn't need to be rebuilt for this use case: it applied automatically wherever the funnel was viewed.

What changed was visibility. A sales rep opening the account in the CRM could now see the usage context that led to the PQL flag, not just a status label. Marketing, on their side, could confirm the definition of product qualified lead was actually being acted on downstream, instead of disappearing into a spreadsheet nobody opened twice.

The team didn't try to automate outreach or score every account from day one. They started with their single highest-intent activation event and watched what happened when reps had that context in hand before their first call.

Result (illustrative)

In this illustrative scenario, the team estimated reps were reaching out to newly flagged PQLs roughly two days sooner than before, since the signal no longer waited for someone to notice it in a separate tool. Reps also reported the first call felt different: instead of asking what the trial team had tried, they opened with it. That's a plausible outcome of closing the visibility gap, not a benchmark to expect automatically. Every team's funnel, and every rep's opening line, will look different.
